Best Immigration Software in Sweden (2026): A Buyer's Guide

What the best immigration software for Sweden must handle, from the Migration Agency's e-service to salary checks and renewals, and how Settio does it.

Key takeaways

  • The best immigration software for Sweden is built around the Swedish Migration Agency's own process, not a generic case tracker.
  • Settio is immigration and relocation software for HR teams and immigration agencies, with Sweden live and used by customers.
  • In Sweden the employer starts every work permit application in the Migration Agency's e-service, so the software should prepare that step, not replace it.
  • Since 1 June 2026 the salary must reach 90% of the median salary, so salary checks before filing and after arrival matter more than before.
  • Renewals start no more than two months before the permit ends, and the terms must have been met for the whole permit, so tracking after approval is half the job.

The short answer: the best immigration software for Sweden is the one built around how Swedish work permits actually run, from the job advert and the union's comment to the Migration Agency's employer e-service, the salary requirement, the decision, the first months after arrival and the renewal. Settio is immigration and relocation case-management software made in Sweden around that process, for both in-house HR teams and immigration agencies. This guide sets out what any immigration software has to handle in Sweden in 2026, the main types of tools and what each is best at, and the questions to ask before you choose.

What immigration software has to handle in Sweden

Swedish work permits have more moving parts than a form and a fee. The Migration Agency's own pages describe the process below, and a good platform should hold every part of it with an owner and a date.

Before the application

  • The job advert: the vacancy must be advertised in Sweden, the EU/EEA and Switzerland for at least ten days, usually through the Swedish Public Employment Service.
  • The employment agreement: it is signed by both parties after the advertising period has ended.
  • The salary: since 1 June 2026 the monthly salary must be at least 90% of the median salary published by Statistics Sweden, currently SEK 34,470 a month. Some listed occupations need 75% of the median (SEK 28,725). Salary and terms must also be at least on par with Swedish collective agreements or common practice in the occupation.
  • Insurance: medical, life, occupational injury and occupational pension insurance must be in place from the start date. Since 1 June 2026, an employee staying up to one year must also have, or have applied for, comprehensive health insurance.
  • The union: the employer must give the relevant trade union the opportunity to comment on the terms of employment.

The application itself

  • The employer starts it: you enter the details of the job in the Migration Agency's e-service, and the employee receives a link to complete their part. The application is registered only once the employee has submitted it.
  • The EU Blue Card follows the same start. It is for a highly qualified job of at least six months, and the employee needs higher education equivalent to 180 credits or five years of professional experience.
  • The employer matters too: since 1 June 2026 the Migration Agency may reject an application because of circumstances relating to the employer or its representatives, such as certain crimes, sanctions for unlawful employment or deficiencies in tax and fee information.

After the decision

  • Check the right to work: before the employment begins, the employer checks that the person has a valid residence permit and keeps a copy for 12 months after the employment ends.
  • Tell Skatteverket: the employer notifies the Swedish Tax Agency of the employment (form SKV 1160) no later than the end of the third month after the calendar month in which it started.
  • Tell the Migration Agency if the employee has not started work within four months of the permit being granted.
  • Watch for changes: a new permit is needed if the employee changes occupation or the terms otherwise change, and also when the company changes its registration number or is acquired by new owners.

At renewal

  • The window: a work permit lasts up to two years. The employer starts the extension in the e-service, no more than two months before the current permit ends and before it expires.
  • Working while waiting: the employee may keep working during processing if they have held a work permit for at least six months and applied before the previous permit expired.
  • The whole period counts: the terms of employment must have been met throughout the permit, and the insurance in place for the whole period. From 2 December 2026 the salary requirement applies to all extension applications.

That last point is why monitoring after approval matters as much as the first application: a salary that dipped below the permit's terms for a few months can surface two years later, at renewal.

Ten things to look for

What to look forWhy it matters in Sweden
A plan per hire from the permit's rulesAdvert, agreement, union comment, insurance and filing happen in a fixed order, with dates counted back from the start date.
Salary checks against the dated levelsThe 90% requirement moves with the median, and exempt occupations have their own level.
Document checks before filingA missing or mismatched document is found before the Migration Agency finds it.
Preparation for the employer e-serviceThe employer starts every application there, so the software should hand you everything that step needs.
An employee portalThe employee completes their part themselves; a portal in their own language saves HR the back and forth.
Decision, expiry and renewal trackingExtensions open two months before the permit ends and must arrive before it expires.
Salary monitoring after arrivalThe terms must hold for the whole permit, and they are checked again at renewal.
The reporting dutiesSkatteverket's notification, the four-month start notice and changes to the employment each have their own trigger.
Roles for everyone involvedHR, the hiring manager, the employee, an outside adviser or an agency's client each need their own view of the case.
Data hosted in Europe, with a public DPAPassports, contracts and salaries are personal data under the GDPR.

HR team or immigration agency: what changes

An HR team needs one plan per hire, a clear view of who does what (HR, the hiring manager, the employee), the filing pack for the e-service, and monitoring after arrival so renewals hold. See immigration software for HR teams.

An immigration or relocation agency also needs separate client workspaces, client portals, per-case pricing it can pass on, and a view across every client's permits. See the buyer's guide for agencies and, if you are just starting out, the software you need to start an immigration agency in Sweden.

Questions to ask in a demo

  1. Show me a Swedish work permit case from the job advert to the filing pack. Which steps are in the plan, and who owns each?
  2. How do you check the salary against the 90% requirement, and what happens when the median changes?
  3. What does the employee see, and in which languages?
  4. How do you track the decision, the expiry and the two-month renewal window?
  5. Do you check salaries after arrival, and what happens when a month falls short?
  6. Where is the data hosted, and can I read your DPA and subprocessor list before I sign?
  7. Can I try it on a real case before I pay?

Frequently Asked Questions

What is the best immigration software in Sweden?

The best immigration software for Sweden is built around the Swedish Migration Agency's process: a plan per hire, salary checks against the 90% requirement, document checks before filing, preparation for the employer e-service, decision and expiry tracking, and salary monitoring until renewal. Settio is built around that process, for HR teams and immigration agencies. Compare any option against this list, and try it on a real case before you choose.

Does immigration software submit the application to the Migration Agency?

In Sweden the employer starts every work permit application in the Migration Agency's e-service, and the employee completes their part through a link. Settio prepares everything for that step (the plan, the checked documents and the filing pack), and you or your adviser file in the official e-service.

What should immigration software check before a Swedish work permit is filed?

That the vacancy was advertised for at least ten days, the employment agreement was signed after the advert closed, the salary reaches the requirement (SEK 34,470 a month at 90% of the median), the insurance starts on the first day, the union was given the chance to comment, and every document is there and consistent.

Is there immigration software for immigration agencies in Sweden?

Yes. Settio has a version for immigration and relocation agencies, with a workspace per client, client portals, a plan per case and a view across every client's permits. See immigration and relocation agency software.

Can I try Settio for free?

Yes. The free trial runs for 30 days with everything included and no card. See how pricing works.

How Settio helps you run immigration in Sweden

Settio turns the Swedish permit rules into a plan for every hire, with owners and deadlines counted back from the start date. The employee uploads documents from their phone in their own language, Settio reads and checks them before filing, and you download one filing pack for the Migration Agency's e-service. After the decision it tracks the expiry and the renewal window, and checks each month's salary against the permit's terms, so the renewal holds.
