Requirements checklist for immigration and relocation software.
Use it as a request for proposal: send the questions to every vendor on your shortlist and compare the answers side by side.
Permits and countries
- Which countries have full permit plans, with each step's official source and the date it was last checked?
- Does a deadline move when the start date or a decision date moves?
- Are salaries checked against the permit's terms every month, not only at extension?
- Are rule changes shown with the cases they affect, before anything changes?
Documents
- Can employees upload from a phone, in their own language?
- Are documents checked before filing (expiry dates, names, missing pages)?
- Are passports read without sending them to an AI model?
People and portals
- Does the employee get a portal with their next step and reminders in their language?
- Do client HR teams get their own login, limited to their own people?
- Can an outside adviser work on the same case without seeing everything else?
Data protection
- Where is personal data stored, and which subprocessors are used?
- Is there a data processing agreement, and a retention and deletion schedule?
- Is every access to an identity document logged?
Integrations
- Is there an API and webhooks for case events?
- Can it connect to the HR system and payroll you use?
The vendor
- Does the vendor sell immigration or relocation services itself?
- Is every feature open to independent agencies?
- How is it priced: per case, per person monitored or per month?
- Who owns the client relationship and the data if you leave?
