Starting an immigration agency

The software you need to start an immigration agency in Sweden.

A new immigration or relocation agency needs software for five jobs: work-permit case management that knows the Swedish Migration Agency's steps and deadlines, secure document collection, a portal where client companies and candidates see their part, a CRM for winning employers, and email, files and e-signature for running the business. Settio covers the first three in one tool built for Sweden and the rest of Europe, plus relocation (housing, registration, schools) and quotes and invoices per case; keep a CRM and your office suite for the rest. Settio is software only: it never sells immigration or relocation services, so it never competes with your agency for clients. No monthly fee to start, and your first real case is free.

The stack, job by job

What each part of a new agency's software does.

Start small: one tool for the cases, your office suite for the rest.

Case management for work permits

The common workaround: A spreadsheet or a general database tracker with a status column, rebuilt for every client and country.

What to use: Settio: a step-by-step plan per candidate from the permit's rules, with owners and deadlines counted back from the start date.

Document collection and checks

The common workaround: Passports and contracts by email, saved to shared folders and checked by eye.

What to use: Settio: the candidate uploads from their phone; documents are read, linked to the right step and compared before filing. No passports in email.

Client and candidate portals

The common workaround: Weekly status emails to each client's HR and each candidate.

What to use: Settio: free logins for your clients' HR teams and a portal for every candidate in their own language, from day one.

Quotes, invoices and permit monitoring

The common workaround: A separate price sheet, invoices typed by hand, expiry dates in a calendar.

What to use: Settio: your price list per client, milestone invoices exported to your Swedish accounting system, expiry and salary monitoring you can resell.

Relocation and settling in

The common workaround: Housing, registration and schools handled in separate email threads.

What to use: Settio: the move in the same plan as the permit: home search and viewings, population registration and the personal number, ID, bank, schools and family members.

Winning employers (sales)

The common workaround: Leads in an inbox.

What to use: Keep a CRM of your choice for prospects and deals; Settio starts when a client signs.

Email, files, meetings, e-signature

The common workaround: Personal accounts and loose files.

What to use: Keep a business office suite with multi-factor sign-in, and an e-signature service for your client agreements.

The Swedish process

What your case software must follow in Sweden.

The employer's application, in the order the Swedish Migration Agency handles it.

  1. 01Advertise the job

The employer advertises the position in Sweden and the EU for at least ten days before making the offer.

  2. 02Offer of employment

Terms at least at the collective agreement or industry level, with a monthly salary of at least 34,470 SEK (the level since 16 June 2026), and insurance in place from the start.

  3. 03Union statement

The relevant trade union is given the chance to comment on the employment terms.

  4. 04Employer files, employee completes

The employer starts the application in the Migration Agency's employer e-service; the employee completes their part and pays the fee.

  5. 05Decision and arrival

The employee may start work once the permit is granted; then registration, ID and the first weeks in Sweden.

  6. 06After the permit

Salary and terms must stay at the level of the permit, and the extension is applied for before the permit expires.

GDPR from day one

Before you collect the first passport.

Passports, contracts and salaries are personal data. Set these up before your first client.

  1. Access per client

Each client company sees only its own people; each consultant sees what their role needs.

  2. No passports in email

Collect documents through a portal, not attachments, and keep one copy in one place.

  3. Agreements on data

Agree each party's role with your clients and sign data processing agreements with every provider you use.

  4. Retention and deletion

Decide how long you keep a case after it ends, and delete on schedule.

  5. EU hosting and multi-factor sign-in

Prefer providers that store data in the EU, and turn on multi-factor sign-in everywhere.

  6. Your records, not the official ones

Your case tracking supports the official application; the authority's e-service stays the record of what was filed.

Which plan fits

Priced per case, the way an agency bills.

Client portal from day one: every plan includes unlimited client workspaces with free logins for your clients' HR teams, and every employee gets their own portal in their language. Consulting agency or digital platform: both. Consultants run the cases; clients and candidates log in to see their part. Unlimited consultants on every plan, so the price follows your cases, not your headcount.

  1. New agency, 1 to 4 cases a month

Pay as you go. No monthly fee. Pay per case when you open it; your first real case is free.

  2. Small agency, about 5 cases a month

Starter. 5 cases and 50 monitored permit holders included, for one to five consultants.

  3. Growing agency, about 15 cases a month

Team. 15 cases and 150 monitored holders included, priority support, optional onboarding.

  4. Established agency, 50 or more cases a month

Scale. Lower price per case, several offices, framework agreements, onboarding included.

  5. Company hiring for itself

Company. First hire free, then a monthly plan for the people on a permit.

  6. Employer that only needs monitoring

Monitor. Expiry and renewal tracking for people already on a permit, salary checks in Sweden.

FAQ

Questions founders ask.

What software do I need to start an immigration agency in Sweden?

Case management that follows the Swedish Migration Agency's steps, secure document collection, a portal for client companies and candidates, a CRM for sales, and an office suite with e-signature. Settio covers case management, documents, portals, quotes and invoices in one tool; keep a CRM and an office suite for the rest.

Can I run an immigration agency on a spreadsheet?

For your first few cases, yes, but a spreadsheet does not know the permit's steps, does not move deadlines when a start date moves, cannot collect documents safely and gives clients no view. Most agencies outgrow it around their tenth active case, and passports end up in email.

Does Settio work for Swedish work permits?

Yes. Sweden is Settio's live country: work permits, EU Blue Card, ICT permits, family members, arrival and salary monitoring against the Migration Agency's dated levels, used by customers today.

Can my clients and candidates log in?

Yes, from day one and on every plan. Your clients' HR teams get free logins to see their people, and every candidate gets a portal in their own language to upload documents and see what is next.

How much does it cost to start?

Pay as you go has no monthly fee: 790 SEK per case you open, and your first real case is free. Practice cases are free and the 30-day trial needs no card. Settio costs about 5 to 10% of what an agency charges per case.

How do I collect passports safely under GDPR?

Through a portal, not email: the candidate uploads once, the file is stored with access limited to the people on the case, and it is deleted on your retention schedule. Sign a data processing agreement with every provider.

Is Settio a service provider that competes with my agency?

No. Settio is software only. It never sells immigration or relocation services to employers or employees, so your clients stay yours, and every feature is available to independent agencies on every plan.

Does Settio handle relocation as well as immigration?

Yes. The permit and the move are one plan: home search and viewings, population registration and the personal number, ID card, bank, schools, family members and the first weeks in Sweden, next to the work permit steps.

Is Settio legal advice?

No. Settio supports your work with plans, checks and reminders; your agency gives the advice and the authority decides every application.
